01The Work

What this actually is.

Most event problems are handoff problems: one group plans, another shows up, and the difference costs the day. We keep planning and delivery on the same team so the people who wrote the run of show are accountable for what happens at 2pm on site.

Austin is an unusually dense event market — festivals, conferences, campus calendars, neighborhood markets and retail programming compete for the same weekends. Scheduling here is a competitive decision, not an administrative one.

02How We Do It

Four things that make it repeatable.

  1. 01

    One team, plan through teardown

The same leads own the run of show, the staffing plan and on-site execution.

  2. 02

    Calendar strategy

We schedule around Austin's event density — what else is happening that weekend, and which audience it pulls.

  3. 03

    Staffing depth

Rosters are built with trained backups, because the difference between a good and a bad event is usually two people who did not show.

  4. 04

    Same-day reporting

Counts, issues and customer feedback are filed the day of, while detail is still accurate.

03In The Field

A calendar with no open weekends

A client wanted a spring event series in Austin and picked dates that collided with two of the city's largest draws. We rebuilt the calendar around lower-competition weekends and neighborhood-scale venues, then staffed each date with the same core team — trading spectacle for consistent, attended conversations.

04The Numbers

Austin as an event market

Third-party market and industry research. Comparative event density figures are directional, drawn from public market reporting rather than our own tally.
